TENNIS COMMITTEE MEETING
July 16, 2008

Chairman, Bill Cook, called the meeting to order at 4:30 p.m.
 
Present:  Bill Cook, Sue Hendrick, Bob Moore, Barbara Pelletier, Lyle Carlson, Gene Jaeger,  Kathy Tuley, Grace Gandt, Vivienne Afshari, Dot Rentschler, Bob Moore and Tom Madson,HOA Liaison.
Absent:  Jim Rudbeck, Fred Lavin, Reg Smith, Jay Butler and Scott Fagin, Finance Board Liaison.
 
A motion was made, seconded and passed to approve the minutes from June 11, 2008.
 
Bill thanked all the people who worked on the tennis courts’ beautification project.  The money for the plants came from the Building and Grounds Committee but many tennis players helped with the labor.  The committee applauded Bill’s efforts in getting this project underway.
 
Bill attended the HOA meeting on July 15 to report on the tennis program.  He shared with the Board the addition of the bulletin board at the courts and reported on the increase in tennis events that are taking place each day of the week. He also shared information about the large Beginner’s Clinic that Lyle is holding each week.  Our tennis budget was submitted at the meeting and included a 5% increase of $300 for 2009.
 
 
 
SUBCOMMITTEE REPORTS:
 
New Members and Clinics- Lyle Carlson
Lyle reported that he had 19 participants for his July 7 clinic including many children.  All four courts were in use.  Lyle will be away the first 3 Mondays in August and is asking for volunteers to help.  Bill will be lead volunteer for the 4th and the 11th. Kathy will head up the session on the 18th.  Other volunteers will be contacted nearer to the dates.
Grace reported that the Thursday night play for beginners is going well with lots of carryover of the skills taught in the clinic.  Grace and Kathy will be organizing another social for this group due to popular demand.
 
Equipment Operation and Maintenance- Jay Butler
A lengthy discussion was held concerning efforts to make the court area more comfortable during hot weather.  Vivienne suggested an overhead fan might be helpful.  Jeff Fenton has an outdoor fan he would be willing to donate.  The height of the gazebo ceiling may be a problem so Bill will check on the feasibility of this addition.
Another area of concern is providing some kind of shade for the sitting area.  Various umbrella options were discussed including purchasing another less expensive umbrella to supplement the existing one or the purchase from Frontgate of a much superior umbrella and stand that would give excellent coverage to the area.  Vivienne and Bob will look into the possibility of purchasing an additional umbrella.
Many members of the committee discussed difficulties that have occurred in the past with regard to the umbrella being stored properly when not in use in order to prevent damage.
 
Social Activities and Member Tournaments- Grace Gandt
Grace, Kathy, Gene, Vivienne and Sue have revised the calendar for the remaining tennis events.  Kathy will change the calendar and Barb will send it out to the tennis players.
Our Tennis Banquet will be held on October 26.  Bill will chair the committee for this event and the members will meet on July 23 at 4:30 at Bill’s house to get the program organized.
 
Inter-Club Tennis Matches- Fred Lavin
There are no planned matches with other clubs at this time.
Vivienne has taken over for Kathy as the lead contact with Washington Racquet Club.  She is hoping to schedule an event in August.
 
Budget and Finance- Jim Rudbeck
The new budget for 2009 had a 5% increase of $300.  The finances for the year were all within the budget.
 
New/Old Business-
·         Grace suggested that we contact the web master to update the Cypress Landing website with regard to the tennis program.  Dot will look into this matter.
·         Sue informed the committee that she is working to form a U.S.T.A. women’s team for the summer.
·         Lyle has volunteered to help with the shed doors.  Bill Staton has power washed them. Bill and Lyle will work on applying some kind of coating to the doors.
·         Lyle reports that there has been a problem with smoking around the courts during his clinic.  Bill volunteered to speak with the gentleman in question. The committee would like Tom to bring up the smoking issue to the HOA to see if there can be some policy regarding smoking in our public areas.
·         Grace will raise fees for upcoming tennis tournaments to $5.00 to help defray costs.
 
The next Tennis Committee meeting is scheduled for Wednesday, September 17, 2008 in the Washington Room of the Bay Club.
