CHARGE:
The Bay Club
House Committee is a Standing Committee of the Board of Directors of the
Cypress Landing Homeowners Association. The Committee is an advisory
committee to the Board on all matters concerning the operations and
maintenance of the Bay Club and Landing, as defined in the Covenants and
hereafter referred to as the Bay Club, except for the areas assigned to
the Building and Grounds Committee, the Cypress Landing Marina
Association, the Pool Committee, and the Community Manager Offices.
STRUCTURE:
The Committee
will consist of 8-10 members approved by the Board. Terms will be for
two years; a few members may be requested to remain for an additional
term in order to maintain continuity.
The Committee
shall elect a Chair, Vice-chair, and a
Secretary/Treasurer.
The Committee
shall meet monthly and at other times at the call of the Chair.
As
appropriate to meeting agenda, representatives from other Standing
Committees and established Cypress Landing clubs may be invited at
attend meetings of the Committee.
The Community
Association Manager shall attend the meetings as Advisor to the
Committee.
FUNCTION:
The primary
function of the Committee is insure that the Bay Club and other assigned
areas are maintained in good order and operated in accordance with the
policies and procedures established by the Cypress Landing Board of
Directors.
The Committee
will advise the Board of Directors when it deems that established use
procedures and use priorities for the Bay Club may require modification.
As
appropriate, the Committee will coordinate its requirements for Bay Club
interior maintenance, repair, refurbishment, renovation, and replacement
with the Community Association Manager, the Buildings and Grounds
Committee, and the Architectural Control Committee. The Committee will
develop plans and schedules, for example, for items that require
renovation and replacement and provide execution oversight, and when
appropriate, in conjunction with other Standing Committees of the Board.
Funding for
operations and capital requirements not otherwise provided for will be
developed by the Committee in accordance with approved budget
procedures. The Committee will manage expenditures within the approved
budget.
The Committee
shall, to insure beneficial use of the Bay Club facilities by the
Cypress Landing community, conduct periodic inspection and inventory of
all non-permanent items and equipment of the Bay Club.
Except for
areas not otherwise delegated, the Committee shall prepare subsidiary
procedures for safe and proper use of Bay Club facilities and equipment,
such as the food preparation area, meeting rooms, storage facilities,
and external areas, including the incorporation and hanging of
decorations for Bay Club events. The Committee shall be responsible for
decisions regarding the acceptance and placement of art work in the Bay
Club.
Scheduling
the use of the Bay Club remains with the Community Association Manager
and the Marina Association as prescribed in the approved amenity
procedures. All use and procedural issues which cannot be resolved by
these shall be referred to the Bay Club Operating Committee.
Bar
operations, including employees and financial matters, remains the
responsibility of the Community Association Manager except that sales
pricing changes shall be reviewed and approved by the Bay Club Operating
Committee.
The Committee
will forward to the Board minutes of all regular and special meetings.
The Committee
Chair (or a designated representative) shall attend the monthly meetings
of the Board.
