April Minutes of the Bay Club Operations Committee

Attendees:  Catherine Good, Pat Fitzgerald, Ron Opello, Donna Wagner, Dave Walker, Jerry McGrath, Shirley Hanberry, Mara Graves, Marcia Stasch
 
Call to order by Chair Mara Graves at 7:00 PM and the March minutes were approved in a motion by Pat and seconded by Ron.
 
The 2009 budget is on schedule.
 
Bar reported a 51% gross profit.  There may be a possible 5% sales tax increase because of the state budget.  We will need to address this if it is enacted.  Mara reminded the committee that the CAM office is responsible for bar operations; the BCOC is an advisory committee.  If residents have a need to talk to someone about bar issues, they should contact the CAM office and not direct their comments to the bartenders.
 
Announcements and updates for April:
1.    The bar wine glass cabinets have been installed and a thank you to Harlan Janes for his beautiful work.
2.    The Washington room cabinets are installed and a thank you to Dave Wheelock for his fine work.
3.    The tile restoration is to be done April 20 and 21 in the evening after 5 PM.
4.    The bar restoration project is on hold because the vendor does not carry the required insurance mandated by the HOA.  The search is on for another vendor. The committee may have to request additional funds from the HOA to help cover the cost.
 
Old business:
1.    The list of items to be repaired for Scott’s attention is under way.  
2.    The situation with the baffles in the Bay Club has come to the conclusion that they will do little to decrease noise volume.  Tom Jung discussed with Chris Harris of the Finance Committee about options to mitigate the noise at certain functions including draping the large windows.  Costs would be prohibitive. The baffles will be thrown out.
3.    Ron Opello reported that storage is not possible in the mechanics room; it is too small and the Fire Marshal prohibits anything being stored there.  However, the Chocowinity room can be converted into areas of storage but will need to keep the exit clear.
4.    Bay Club storage is a problem since the largest area for storage is in the lower level men’s room closet.  Much of the seasonal, janitorial supplies and items for the social committee are kept in there.  It might be possible to build storage under the outside stairs for these items and / or even use the niche in the upper ladies’ room for shelving of paper and plastic goods.
5.    Dave Walker and Pat Fitzgerald reported on the search for ceiling tile replacement in the bar. They prepared a handout with different styles and prices available at Lowe’s.  This expenditure will come out of the B&G budget.  The BCOC committee members will look at tiles in Lowe’s store on their own to become familiar with the product. We will discuss again at the May meeting.
6.    The Bay Club furniture replacement sub-committee reported on the plan by Bill Hendricks.  A presentation by Roberta Crumley, a professional decorator, will be given Thursday, April 9 at 11 AM.
 
 
New Business: 
1.    Kitchen inventory will be done May 6 at 9:30 AM.
2.    Lighting under the cabinets in the Washington room to be installed.
3.    Handicap accessibility to the Bay Club suggestions given:  a power chair, a golf cart, a driveway to the front of the building, and benches installed along sidewalk leading to the Bay Club entrance. This issue will be taken up in a future meeting.
 
The BCOC committee will meet May 13 at 7 PM.
 
The meeting was adjourned at 8:15.
